As well as having your own staff enter data into PMComplete™ and obtain information by way of enquiries and reports, you may also set up PMComplete™ to allow your Clients, vendors and subcontractors to collaborate with you by giving them access to your information in a secure manner.

You can choose to just limit your Clients to entering service calls, reporting defects, requesting project changes and variations, reporting problems and complaints themselves.

Or, if your relationship is stronger, you may allow them to add and update action items, issues, risks and even project task activity.

By using the World Wide Web version of PMComplete™, you enable System Users anywhere in the world at any time to have access to its powerful functionality.

PMComplete™ Delivery Models

PMComplete™ is available to be licensed and deployed in a variety of forms including as a:

  • Multi-user LAN-based version sharing a single data base for in-house Workgroups
  • Hosted (by your organisation) version accessible by way of the World Wide Web for out-and-about staff as well as Clients, vendors and subcontractors
  • Application Service Provider (ASP) hosted version assessible by way of the World Wide Web for those enterprises that don't wish to manage the operation themselves or don't wish to outlay any one-time fees (This is the the version you can access from this PMComplete™ portal)

Microsoft® Outlook®

PMComplete™ can output interface files containing updates to Microsoft® Outlook®'s Appointments for:

PMComplete™ can also output an interface file containing updates to Microsoft® Outlook®'s Tasks from a Project's Tasks.

Microsoft® Project

PMComplete™ has a full roundtrip interface between itself and Microsoft® Project.  This interface allows Project, People On Project, Project Task and People On Task data to be entered in PMComplete™ and then output to Microsoft® Project, have task-to-task dependencies added and then re-imported into PMComplete™.

Accounting Systems

PMComplete™ provides interfaces to the accounting systems listed below.  These interfaces are provided on a batch basis and allows for transactions to be entered into PMComplete™ and then to be passed in batches to the nominated accounting system.

Full double-entry accounting is supported for all transactions.

A site-defined General Ledger Account Code structure that consists of 6 segments is used for flexibility.

Accounts Payable (Creditors) System
The following transactions can be passed:
o Creditors Invoices
o Purchase Orders (raised on vendors, suppliers and subcontractors)
o People's Expense Claims (staff as well as contractors)
o People's Advances (staff as well as contractors)
Accounts Receivable (Debtors) System
The following transactions can be passed:
o Debtors Invoices
o Purchase Orders (raised by Clients)
Payroll System
The following transactions can be passed only for people marked as "staff":
o Leave
o Timesheets
General Ledger
No direct interface exists between PMComplete™ and the General Ledger, because this is provided by the Accounts Payable, Accounts Receivable and Payroll systems themselves.

e-mail

Every report produced within PMComplete™ can be e-mailed to others who do not have access to PMComplete™ if you wish.

PMComplete™ provides built-in gateways to a variety of different e-mail systems.

Generic Import and Export

You can import and export most data to/from PMComplete™.  These importing and exporting functions are very sophsticated and not only provide for initial data entry and data take-up but also provide a synchronising mechanism with a variety of other systems.  Features include the ability to:
  • Add new records
  • Change existing records
  • Resolve foreign keys and lookup codes
  • Perform exactlly the same validations on input data as would be performed if it were keyed in
  • Only export data that has not previously been exported
  • Define, save and use import and export maps to control the sequence of data in records as well as field name translations
  • Handle duplicate records
You can use the exporting capabilities of PMComplete™ to export to CSV format and then import this data into Microsoft® Excel to provide additional sorting, filtering and reporting capabilities to augment those found in PMComplete™.
HTML
Every report produced within PMComplete™ can be saved as a HTML file and then imported into Microsoft® Excel or Microsoft® Word if you wish.
XML
You can import and export data to/from PMComplete™ in XML format.
Comma Separated Value (CSV)
You can import and export data to/from PMComplete™ in CSV format.

Security

PMComplete™ boasts a full complement of security features including:
  • Sign in security is provided by way of a Username and Password.
  • There is a Password Change function that must be used every 30 days (a System Administrator-defined period).
  • Passwords can't be re-used for 120 days (a System Administrator-defined period).
  • Function access security is based on the System User's membership of a User Group which defines which functions can be accessed.
  • Data access security is based on the System User's defined access to specific Workgroups and the data therein.
  • Secure system administration functions are provided to administer System Users and security.
  • Certain data is considered to be "personal" (ie, not "business").  Personal data may only be accessed by the person who created it.
  • Certain data can only be accessed by its owner (the person who created it initially).
  • Certain data (eg, performance review information) can only be accessed by its owner or the person who is the subject of the data.
  • There is a full audit trail of who did what and when.  This can be searched and reported upon in a variety of reports and enquiries.
  • Add, change, delete and enquire operation security is definable for each User Group for each transaction type.

WorkFlow

PMComplete™ WorkFlow allows you to define which transactions require authorisation after they have been entered.  You can define who can authorise what transactions, up to what level and for which organisation.  You can also allow authorisations to only apply for a specific time (eg, allowing a person to temporarily deputise for the normal authoriser).

WorkFlow is most commonly used with Timesheets, Travel and Expense Claims, but acn be used on other transactions as well.

Notifications

Notifications are like WorkFlow except they are for all System Users.

Audit Trails

All actions initiated by System Users are recorded in an audit trail.  Who did what and when is recorded.

This information can be interrogated by the System Administrator when trying to identify problems.

This information can be interrogated by all System Users when any transaction is displayed, simply by clicking on the "History" button to view the audit trail for that specific record.

Dashboards

Each System User can set up their most appropriate dashboard.  This allows them to see at a glance the activities they need to perform (eg, their action items, service calls, etc).

Options and Preferences

System Users can set up many options to control how PMComplete™ will operate for them.  As well as screen size, dashboard, icons, etc, a System User can also define many default values (eg, project, company, organisation unit and location) which will then be used as defaults on all data entry screens, thereby reducing the amount of data entry they require to enter.

Alternate Menu Sub-Systems

PMComplete™ provides a number of different menu sub-systems to allow a System User to tailor how PMComplete™ will display menus and record lists.

Menu options include:

  • Microsoft® Outlook® style
  • Simple, plain menu
  • 2-Up screen
  • Drop-Down

RoadMaps

Over 550 Mind Maps® are provided to visually guide you through the processes you should follow when managing people, projects and practices.  Most of these RoadMaps not only display the process but also link (ie, you can click on them) to the underlying PMComplete™ function, thereby providing an alternate menu structure.

For example, one of the RoadMaps displays step-by-step how to initiate a project and another displays step-by-step how to close a project.

Many of the project management RoadMaps are based on the Project Management Institute's (PMI®) PMBOK® and still others are based on CMMI while others are based on OGC®'s PRINCE2™.
